UMPTRACK LLC (“UmpTrack,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how information is collected, used, stored, disclosed, and protected when you use UmpTrack, including the UmpTrack website, mobile applications, and related services.
UmpTrack is designed to help baseball and softball umpires manage the business and performance aspects of officiating, including games, earnings, payments, expenses, mileage, contacts, assignments, and performance information.
By using UmpTrack, you acknowledge the practices described in this Privacy Policy.
1. Information We Collect
Account Information
When you create an UmpTrack account, we may collect information such as your first and last name, email address, account identifiers, account preferences and settings, and authentication and account-security information.
Passwords are handled through our authentication infrastructure and are not stored by UmpTrack as readable passwords.
Game and Assignment Information
UmpTrack may store information that you enter or import concerning your umpiring assignments, including game dates and times, baseball or softball designation, teams and organizations, game locations, level of play, plate or base assignment, crew information, assigners, game status, and related assignment information.
Earnings, Payments and Expense Information
UmpTrack may store information you provide concerning the financial aspects of your umpiring activity, including game fees and earnings, paid, unpaid, or partially paid status, amounts owed or received, mileage, expenses, and related business records.
UmpTrack is a recordkeeping and management tool. Information recorded as paid within UmpTrack does not necessarily represent a payment processed by UmpTrack.
Performance Information
UmpTrack may store performance information you choose to record, including plate and base performance, mechanics information, ratings, reviews, and other umpiring-performance records.
Optional AI Performance Insights
Eligible UmpTrack Pro users who have completed at least five games may request AI Performance Insights, an optional feature powered by OpenAI. When you request an AI analysis, UmpTrack prepares selected records from your completed-game self-evaluations. Information sent for analysis may include game dates, baseball or softball designation, plate or base position, crew size, mechanics or rules system, performance ratings, and written performance-review notes, together with limited technical information needed to process the request.
UmpTrack is designed to exclude game pay, payment and expense information, mileage, contact records, names, addresses, and account credentials from the structured AI analysis request. However, free-text performance notes may contain personal details that you choose to type. Please avoid including private or sensitive information about yourself or other people in performance notes.
Contacts and Organizations
You may enter information concerning assigners, crew members, organizations, leagues, schools, or other umpiring-related contacts. This information may include names, contact information, organization information, and notes relevant to your umpiring activity.
Subscription Information
If you subscribe to UmpTrack Pro, we may receive and maintain information necessary to verify and administer your subscription, including subscription status, product identifiers, transaction references, purchase or renewal dates, expiration information, and subscription provider.
Payment-card information used to make purchases through Apple's App Store or Google Play is processed by the applicable store. UmpTrack does not receive or store your full payment-card credentials from those transactions.
Technical, Security and Website Information
UmpTrack and its service providers may process technical information necessary to operate, protect, measure, and improve our services. This may include authentication sessions, IP address and network information, browser or device information, timestamps, security events, service diagnostics, website page views and visits, website performance information, and general traffic and referral information.
2. How We Use Information
- Create and authenticate UmpTrack accounts.
- Provide and synchronize UmpTrack services.
- Store and display your games and assignments.
- Maintain earnings, payment, mileage, and expense records.
- Provide performance tracking and reporting and, when requested by an eligible user, generate optional AI Performance Insights.
- Maintain contacts and organizations.
- Operate Free and Pro account features.
- Verify and administer subscriptions.
- Send account verification, password-reset, security, support, and other service-related communications.
- Provide customer support.
- Maintain the security and integrity of UmpTrack.
- Detect or prevent fraud, abuse, or unauthorized activity.
- Diagnose technical problems and improve reliability.
- Understand website usage and performance.
- Comply with applicable legal obligations.
- Enforce our agreements and protect the rights of UmpTrack and its users.
How AI Performance Insights Works
AI analysis is initiated when you choose to generate AI Performance Insights; UmpTrack does not continuously send saved game reviews to OpenAI for analysis. Selected performance information is sent through UmpTrack's protected server integration to OpenAI to generate coaching summaries, strengths, improvement opportunities, and next-game suggestions. The generated report may be stored in your UmpTrack account so you can review it again.
You may choose not to request AI coaching and continue using the non-AI functions available under your plan. AI coaching is based on your own recorded evaluations, not video or direct observation. It can contain errors and is not official instruction, certification, or an evaluation from a league, school, or governing body.
3. Service Providers
UmpTrack uses third-party service providers to operate portions of its services.
Supabase — backend infrastructure, database services, authentication, account management, and cloud synchronization.
Resend — transactional and service-related email delivery.
Cloudflare — website infrastructure, security, and performance services.
Vercel — website hosting and website analytics.
Apple — distribution of the iOS application and processing or administration of applicable App Store subscriptions and purchases.
Google — distribution of the Android application, Google Play subscriptions and purchases, and Google Analytics on the website.
OpenAI — AI processing of selected user-submitted performance self-evaluations when AI Performance Insights is requested.
These providers may process information as necessary to perform services for UmpTrack or as otherwise governed by their own terms and privacy obligations.
UmpTrack does not sell your personal information.
We will update our disclosures when material changes to our service providers or data practices require it.
4. Website Analytics
UmpTrack uses website measurement services, including Google Analytics and Vercel Web Analytics, to understand site visits, traffic sources, page views, and website performance. Depending on the service and your browser settings, these providers may process device or browser information, network information, and cookies or similar identifiers used for analytics.
We use this information to understand how visitors find and use UmpTrack.net and to maintain and improve the website. We do not use website analytics for the purpose of selling users' personal information.
5. Information About Other People
UmpTrack may allow you to enter information concerning assigners, crew members, organizations, or other individuals associated with your umpiring activities.
You are responsible for ensuring that information you enter concerning other individuals is appropriate for your legitimate recordkeeping and umpiring purposes.
An individual does not need to become an UmpTrack user merely because another user records that person as an umpiring-related contact.
6. Data Security
We use reasonable administrative, technical, and organizational safeguards intended to protect information handled through UmpTrack.
However, no electronic transmission, storage system, or online service can be guaranteed to be completely secure.
Users are responsible for maintaining the confidentiality and security of their account credentials.
AI Performance requests are handled through a server-side service integration rather than by placing an OpenAI API key in the application distributed to users.
7. Data Retention
We generally retain account-associated information while your UmpTrack account remains active or for as long as reasonably necessary to provide the services you request.
When an account is permanently deleted, UmpTrack will delete account-associated information that we are not legally required or otherwise legitimately permitted to retain.
Limited information may be retained when reasonably necessary for purposes such as legal or regulatory compliance, accounting or tax obligations, fraud and abuse prevention, security, dispute resolution, establishing or defending legal claims, or enforcement of our agreements.
Information retained for these purposes will be limited to what is reasonably necessary.
AI Reports and OpenAI Retention
UmpTrack may retain AI-generated coaching reports with your account to make them available for future review. OpenAI processes AI requests on our behalf under its API terms and data policies. OpenAI states that API content is not used to train its models by default unless the API customer opts in; OpenAI may retain certain request information for security and abuse monitoring under its applicable policies. UmpTrack does not represent that OpenAI provides zero-data retention for this feature.
Deleting information from UmpTrack may not immediately remove information already processed or retained by a third-party provider under its own applicable retention requirements. You can contact support@umptrack.net with questions about AI reports and privacy requests.
8. Account and Data Deletion
UmpTrack users may request permanent deletion of their account and associated data.
Account deletion will be available from within UmpTrack through More → Account → Delete Account.
UmpTrack also provides an account-and-data-deletion resource through UmpTrack.net. Deletion of account-associated data includes AI reports maintained by UmpTrack, subject to applicable exceptions and provider-side retention.
Account deletion is permanent and cannot be undone once completed.
If you have an active UmpTrack Pro subscription through Apple or Google, deleting your UmpTrack account does not necessarily cancel that store-managed subscription. You should manage or cancel the applicable subscription through Apple or Google to prevent future renewal charges.
9. UmpTrack Pro and Store Purchases
UmpTrack Pro subscriptions purchased through Apple's App Store are administered by Apple. Subscriptions purchased through Google Play are administered by Google.
UmpTrack may receive information necessary to determine whether an account is entitled to Pro functionality and to maintain the applicable subscription status within UmpTrack.
UmpTrack does not receive or store the full payment-card credentials used to complete purchases through Apple or Google.
Cancellation of an UmpTrack Pro subscription does not delete your UmpTrack account or your account data.
Unless otherwise required by the applicable store or law, Pro functionality may remain available through the end of the applicable paid subscription period before the account returns to the features available under the Free plan.
10. Children's Privacy and Minimum Age
UmpTrack is intended for individuals 16 years of age or older.
UmpTrack is not intended for children under 16, and individuals under 16 may not create or maintain an UmpTrack account.
We do not knowingly seek to collect personal information from individuals under 16. If we learn that an individual under 16 has created an account or provided personal information through UmpTrack, we will take appropriate steps to delete the account and associated information.
If you believe an individual under 16 has provided personal information to UmpTrack, please contact us at Support@UmpTrack.net.
UmpTrack does not require users to provide their date of birth solely for purposes of creating an account. By creating an account, users confirm that they meet UmpTrack's minimum-age requirement.
11. International Users and Data Processing
UmpTrack is operated by UMPTRACK LLC in the United States and may be made available to users in other countries.
If you use UmpTrack outside the United States, information may be transferred to, processed, or stored in the United States or other countries in which UmpTrack or its service providers operate.
Privacy and data-protection laws may differ among jurisdictions. Where applicable, UmpTrack will handle personal information in accordance with applicable legal requirements.
Users may contact us regarding privacy questions or requests concerning their personal information.
12. Your Choices and Rights
Depending on where you live, applicable law may provide rights concerning your personal information.
These rights may include the ability to request access to, correction of, or deletion of certain personal information.
UmpTrack users can manage certain account information through the application and may permanently delete their account as described above.

We may need to verify a request before fulfilling it where appropriate or legally required.
13. Changes to This Privacy Policy
We may update this Privacy Policy as UmpTrack evolves or when legal, regulatory, security, or operational requirements change.
When we make changes, we will update the effective or “Last Updated” date displayed with this Privacy Policy. Where appropriate or required, we may provide additional notice of material changes.
Continued use of UmpTrack following an applicable policy update will be subject to the updated Privacy Policy.
